Privacy Policy

When you use our services, you're trusting us with your information. We understand this is a big responsibility and work hard to protect your information and put you in control.

This Privacy Policy is meant to help you understand what information we collect, why we collect it, and how you can update, manage, and delete your information.

Information UCS Attend collects

We collect information to provide better services to all our users — from recording attendance check-ins to managing employee onboarding. The information we collect, and how that information is used, depends on how you use our services.

Things you create or provide to us

When you create an account, you provide us with personal information that includes your name, email address, phone number, and employee or student ID. During onboarding and profile setup, you may also provide:

  • Personal details: date of birth, gender, marital status, father/husband name, alternate phone number
  • Address information: current address, city, state, pincode, permanent address
  • Government-issued ID numbers: Aadhaar number, PAN card number
  • Bank account details: bank name, account holder name, account number, IFSC code
  • Emergency contact details: name, relationship, phone number
  • Education history: degrees, institutions, years of passing, percentages
  • Family details: name, relationship, occupation, phone, date of birth
  • Previous employment history: organization names, roles, tenure
  • Professional references: name, designation, organization, phone
  • Profile photo
  • Document images: Aadhaar card (front/back), PAN card, bank proof, electricity bill
  • Leave application details including supporting documents and proof images

Information we collect as you use our services

Your location

We collect your precise GPS location (foreground only) when you check in or check out to verify that attendance is marked at authorized locations. Location is not tracked in the background.

Your camera and photo gallery

We use your camera for QR code scanning to mark attendance. We also access your photo gallery and camera to capture profile photos and upload documents (such as ID proofs and leave attachments) during onboarding and when applying for leave.

Your notifications

We request permission to send you push notifications, including attendance confirmations, reminders, and important account updates via Firebase Cloud Messaging. You can control notification preferences in your device settings.

Your devices

We collect information about the device you use to access our services, including device model, operating system version, and app version. We also collect a Firebase Cloud Messaging token to send push notifications. This helps us provide automatic updates and troubleshoot issues.

Your activity

We collect information about your activity in our services, including check-in and check-out times with associated location stamps, attendance history, leave applications and their status, and scanned QR code data.

Local storage

We cache certain information locally on your device (such as your profile, attendance status, history, and notifications) using SharedPreferences to improve app performance and provide offline access. This data is cleared when you log out.

We use the information we collect for the following purposes:

Provide our services

We use your information to deliver attendance tracking, verify check-in locations via GPS, process leave applications, manage employee onboarding, and send timely notifications.

Maintain and improve our services

We use your information to ensure our services are working as intended, track outages, troubleshoot issues, and make improvements.

Communicate with you

We use information we collect, like your email address and phone number, to interact with you directly. For example, we may send you a notification if we detect suspicious activity or let you know about upcoming changes to our services.

Protect UCS Attend, our users, and the public

We use information to help improve the safety and reliability of our services. This includes detecting, preventing, and responding to fraud, abuse, security risks, and technical issues.

Your privacy controls

You have choices regarding the information we collect and how it's used.

Managing, reviewing, and updating your information

You can review and update your personal information at any time through your profile settings in the app. You may also contact us to request access to, correction of, or deletion of your data.

Exporting and deleting your information

You can request a copy of your data or ask us to delete it at any time. To delete your information, you can request removal of specific items or your entire account by contacting us.

Device-level settings

Your device may have controls that determine what information we collect. For example, you can modify location settings on your Android device, manage notification preferences, or revoke camera and photo gallery permissions in your device settings.

Sharing your information

When you share your information

Some services let you share information with other people, and you have control over how you share.

When UCS Attend shares your information

We do not sell your personal information. We do not share your personal information with companies, organizations, or individuals outside of UCS Attend except in the following cases:

  • With your consent — We'll share personal information outside of UCS Attend when we have your consent.
  • For external processing — We provide personal information to trusted service providers (such as Supabase for database hosting, Firebase for push notifications, and backend cloud infrastructure) to process it for us, based on our instructions and in compliance with this Privacy Policy.
  • For legal reasons — We will share personal information if we have a good-faith belief that disclosure is reasonably necessary to respond to applicable law, legal process, or enforceable governmental request; enforce our terms; detect, prevent, or address fraud or security issues; or protect against harm to our rights, property, or safety.

Data storage and security

We build security into our services to protect your information. Your data is stored securely on our servers and trusted third-party cloud infrastructure (Supabase and Firebase). We use encryption to keep your data private while in transit, and we restrict access to personal information to employees and contractors who need that information in order to process it. We implement appropriate technical and organizational measures to protect your personal data against unauthorized access, alteration, disclosure, or destruction.

Retaining your information

We retain the data we collect for different periods of time depending on what it is, how we use it, and how you configure your settings. Some data you can delete whenever you like. Other data is deleted or anonymized automatically after a set period of time. We keep some data until you delete your account. We may retain certain information for longer periods when necessary for legitimate business purposes, legal obligations, or financial record-keeping. When you delete data, we follow a deletion process to ensure it is safely and completely removed from our servers.

Third-party services

Our services rely on the following third-party providers:

  • Supabase — Backend database, authentication, and realtime subscriptions
  • Firebase (Google) — Push notifications via Firebase Cloud Messaging
  • Google Play Services — Location services

These third parties have their own privacy policies governing the use of your data. We recommend reviewing their policies for more information.

Children's privacy

Our services are not intended for children under the age of 13. We do not knowingly collect personal data from children. If we become aware that a child has provided us with personal data, we will take steps to delete it.

Changes to this policy

We change this Privacy Policy from time to time. We will not reduce your rights under this Privacy Policy without your explicit consent. We always indicate the date the last changes were published. If changes are significant, we'll provide a more prominent notice, including in-app notification or email.

Account Deletion

You may request deletion of your account and associated data at any time. To request account deletion, please send an email to digitalmrk990@gmail.com from the email address registered with your account. Upon receiving your request, we will verify your identity and process the deletion.

Once verified, we will delete your account and personal data within 30 days, unless retention is required by applicable law or for legitimate business purposes such as financial record-keeping. Certain anonymized or aggregated data that cannot reasonably identify you may be retained after deletion.

Note that deleting your account will result in permanent loss of access to all associated data, including attendance records, leave history, and personal information. This action cannot be undone.
